Role Summary

We’re seeking a detail-oriented Administrative Assistant to streamline our operations across multiple departments. In this role, you’ll manage our deal inflow, build key property and lead lists, maintain our CRM and website, and support the CEO with various administrative tasks. If you’re highly organized, tech-savvy, and proactive, you’re the person we need to keep our operations running smoothly.

Key Responsibilities

-Deal Inflow Management: Monitor and manage the company’s deal inbox; transfer properties from email to CRM to facilitate swift property reviews.

-Property List Building: Source fixer-upper properties from the MLS using Zillow and Redfin, and add at least 35 new properties daily for each Acquisitions Manager (Est. Total Of 175 Daily).

-Lead Generation: Build a list of at least 100 new leads per day for our lead intake team.

-CRM & Automation: Maintain and update our CRM (GoHighLevel), including creating systems and automations to streamline processes.

-Digital Communication: Manage the company’s Discord channel to foster internal collaboration.

-Website Management: Update and manage the company website (powered by GoHighLevel) to ensure all content is current and accurate.

-Data Support: Perform data scraping and data building tasks to support marketing and sales efforts.

-SOP Creation: Develop and maintain Standard Operating Procedures to ensure consistent, efficient operations.

-Executive Support: Assist the CEO with various administrative tasks as needed.

-A tech-savvy individual with in-depth knowledge of Google Sheets, Docs, and Gmail.

-A proactive self-starter who requires minimal supervision and always finds ways to improve efficiency.

-A results-driven professional comfortable with meeting daily performance targets.

-Someone who struggles with fast-paced data entry or using modern technology.

-A person who avoids tasks that require detailed organization or system management.

-An individual who needs constant direction or fails to take initiative.

Must-Have Qualifications

-Prior experience as a real estate assistant or in an executive/administrative role within a real estate company.

-Proven analytical skills and the ability to adapt quickly to new tools and processes.

-Experience managing CRM systems (preferably GoHighLevel) and creating automated workflows.

Work Schedule & Tools
-Schedule: Full-time, Monday – Friday, 9 AM PST to 5 PM PST.

-Work Environment: Remote role ideal for overseas candidates.

-Tools: Must have a reliable, fast computer and high-speed internet; proficiency with Google applications is essential.
